Room Numbers

Room Numbers is the list of the hotel's rooms that guests can order room service to. This guide explains how to add rooms one by one, as ranges or from a spreadsheet, and how to take a room out of use.

It is part of Room Service, a Location View feature for hotels. The page only appears for companies whose company type is Room Service Restaurant.

Where to find Room Numbers#

  • View: Location View (make sure the hotel's location is selected in the header)
  • Menu: Operations → Room Service → Room Numbers

Why the room list matters#

Until a location has any rooms, guests can type any room number when they order. As soon as you add rooms, a room service order can only go to an active room on your list. Guests who type a room that is not on it are asked to check their room number. This stops orders, and room charges, landing on a room that does not exist.

The list#

Rooms are sorted the way they are numbered on the doors: 2, 10, 101, 0402, A2, A10. When a hotel has more than 20 rooms, a search box above the list finds a room by number, name or floor. Long lists are shown 50 rooms to a page.

Adding a room#

  1. Go to Operations → Room Service → Room Numbers and click Add room.
  2. Enter the Room number as it is shown on the door, for example 1204 or 0402.
  3. Optionally add the Floor and a Name or type.
  4. Leave Active on so guests can order to the room, and click Save.

Room numbers are saved in capitals and without extra spaces, so 12b and 12B are the same room. Each room number can only be added once per location.

Adding many rooms at once#

Click Add or import rooms. The window has two tabs.

Type rooms#

Type single rooms and ranges, separated by commas or new lines, for example 101-120, 201-220, 301, Penthouse.

  • Ranges keep leading zeros: 0401-0410 gives 0401 to 0410.
  • Letter prefixes work too: A1-A12 gives A1 to A12.
  • Up to 1,000 rooms can be added at once.

Before you add them, the window shows the new rooms, lists any that already exist (they are skipped), and points out anything it cannot read.

Import CSV#

Save your room list from a spreadsheet as a CSV file, one room per row, and choose it. The first row can name the columns:

Without a header row, the columns are read as room, name and floor. Files separated by commas or semicolons both work, as spreadsheet programs save either depending on your language settings. The window previews the rooms before importing them and lists rows it will ignore.

Editing a room#

Click the Edit (pencil) button on the room, change the details and click Save. Orders already placed keep the room number they were placed with.

Taking a room out of use#

To stop orders to a room, for example during refurbishment, switch it off in the Room service column. Its past orders are kept, and you can switch it back on at any time.

Delete (bin) removes a room for good, but only a room that has never had an order. For a room with orders you will see This room has orders, so it can't be deleted. Switch it to inactive instead.

Troubleshooting#

Room Numbers is missing from the menu.

The company type is not Room Service Restaurant, or your account cannot view rooms. See Setting Up Room Service.

"Room 1204 already exists" when adding a room.

Each room number can be added once per location. Edit the existing room instead.

Some rows of my CSV file were ignored.

Those rows have no room number, or a value that is too long (room 60 characters, name 80, floor 20).

A guest says their room is not accepted.

Check that the room is on the list and switched on. Rooms that are switched off cannot receive orders.
