Orders

The Orders page in Company View is the central order log for a whole company. Unlike the Location View order list, which is limited to one store, this list can show orders from all locations of the selected company side by side, adds a store column so you can tell locations apart, and gives administrators company-wide actions such as changing an order's status at any stage, cancelling with a refund, and processing stand-alone refunds.

Where to find Orders#

Note that on this particular page the company picker in the page header is hidden. Instead, you choose the company (and optionally a single location) directly in the filter bar at the top of the page.

The order list#

When you open the page, it shows recent orders from roughly the last two weeks for the companies linked to your account. The list refreshes itself automatically every few seconds, so new orders appear without reloading the page. A switch labelled Enable Order Notification Sound in the filter area plays an audible alert when new orders arrive.

Columns#

Store Name (Company View only)The location that received the order. This column does not exist in Location View — it is added here so you can tell the company's stores apart.
StatusThe order's progress status (see the table below). For rejected or cancelled orders, hovering over the status shows the recorded reason. A warning indicator appears underneath if the delivery job has issues.
Created AtWhen the order was placed.
Expected ByThe requested or estimated fulfilment time (for example ASAP with an estimate, or a pre-order time).
Order TypeOne of Delivery, Pickup, Catering, Curb-side or Eat-in.
PaymentThe payment method, the payment status for card payments (for example Card (Processed)), and the order amount.
CustomerThe customer's name plus a small icon showing the device or channel the order came from. In Company View the name is always a link that opens the customer's profile. (In Location View this link only works when the company has a signed data-processing agreement — that restriction does not apply here.) Whether this column and the last name are visible depends on your account's access level.

Order statuses#

Filters#

The filter bar in Company View is larger than the Location View one because it adds company-wide fields. To run a search you must first pick a company — searching without one shows the message "Please select a company".

  • All Companies — choose the company whose orders you want to see (required for searching).
  • All Locations — optionally narrow the list to a single location of that company. The choice resets when you switch company.
  • Status — one or more order statuses from the table above.
  • Order Type — one or more of Delivery, Pickup, Catering, Curb-side, Eat-in.
  • Payment Type — one or more of Cash, Card, Card Terminal.
  • Payment Status — one or more of Processed, Pending, Refunded, Partially Refunded, Cancelled.
  • Start Date / To Date — a date-and-time range. The range may not exceed 3 months.
  • Order ID, Tracking ID — find a specific order.
  • First Name, Last Name, Email, Phone, Address — find orders by customer details.

Press Search to apply the filters, or Clear All to reset every field and reload the default list.

Working with orders#

Each row ends with a set of action buttons.

View an order#

The View (eye) button opens the order details window: order and customer information (Order ID, Store, Created At, Order Time, Order Type, Payment Type, Name, Telephone, Device, Pre-Order, Address, Special Instruction and, for eat-in orders, Table Number), followed by the Order Items and a cost breakdown — Subtotal, any fees, discounts, Tip, Driver Tip and Total. On historical orders that used a promotional code you may also see a line such as PromoCode Discount with the code that was applied.

Change an order's status requires status-update access#

The red gear button (Change Order Status) opens a small prompt whose options depend on the order's current status. This is where Company View is much more powerful than Location View: administrators can move an order both forwards and backwards through its lifecycle, and can cancel it at almost any stage.

  • Accepting: choose the preparation Order Time in minutes (5-minute steps) and confirm with CONFIRM & ACCEPT.
  • Rejecting: a Reason is required, chosen from a fixed list — Items out of stock, High demand/Busy, Too close to closing time, No driver available, Customer is uncontactable, False/Fraudulent Order, Extreme Weather, Menu Item Issues or Other Reason (with a free-text explanation). Confirm with CONFIRM & REJECT. The reason is stored on the order and shown to staff when hovering over the status.
  • Updating: pick the new status in the Update Order Tracking Status window and confirm with CONFIRM & UPDATE. A success message "Order status updated successfully" confirms the change.

Cancelling with a refund#

When you select Cancelled for an order that was paid by Card through the Stripe or Ryft payment gateway, the window offers a Process Refund? checkbox (ticked by default). With it ticked you can set:

  • Refund Amount — pre-filled with the order amount; it must be greater than zero and can be lowered for a partial refund.
  • Reason — required, from the same reason list as rejections.
  • Is the merchant liable for this refund? — shown only for portal-type companies; controls who bears the cost of the refund.

If you untick Process Refund?, or the order was not a refundable card payment, the order is cancelled with a reason but no money is returned.

Stand-alone refunds administrator accounts only#

The Refund (card) button issues a refund without changing the order's status — useful for goodwill or partial refunds on completed orders. In Company View this button is only shown to administrator accounts. It is enabled only when all of the following are true:

  • The order was paid by Card through the Stripe or Ryft gateway.
  • The payment status is Processed or Partially Refunded.
  • The order is not Pending or Rejected.

The Refund window asks for a Refund Amount (pre-filled with the order amount) and a free-text Reason, plus the merchant-liability checkbox for portal companies. Below the form, a history table lists earlier refunds for the order with Amount, Refund Status, Processed Date, Refund Reason and Refund Liability. On success you will see "Refund has been processed successfully".

The Print Order button produces a printable copy of the order, as described in the Location View part of this guide.

Exporting orders#

The Export button at the top of the page opens the Export Orders window. In Company View it includes extra fields that Location View does not have:

  • Company — required.
  • Branch — optional; leave empty to export all locations.
  • Status, Order Type, Payment Type — optional multi-select filters.
  • Payment Status — Company View only.
  • Order Date — required; the range may not exceed 3 months.
  • Is Pre-Order? — switch to include only pre-orders.
  • Download AsCSV.

Press Download to generate the file.

Common tasks#

  • Find a customer's order across all stores: pick the company, enter the customer's email or phone, press Search.
  • Cancel and refund a mistaken order: gear button → choose Cancelled → leave Process Refund? ticked → check the amount and reason → CONFIRM & UPDATE.
  • Give a partial goodwill refund on a completed order:Refund button → lower the Refund Amount → enter a Reason → confirm.
  • Fix a status set by mistake at a store: gear button → move the order back to the correct status (Company View allows backward moves).

Troubleshooting#

"Please select a company" when searching

Company-wide searches always need a company selected in the first filter field.

The Refund button is greyed out

The order does not meet the refund conditions: it must be a card payment through Stripe or Ryft with payment status Processed or Partially Refunded, and not Pending or Rejected. Cash and card-terminal payments cannot be refunded here.

The Refund button is missing entirely

In Company View it is only shown to administrator accounts.

The gear button is disabled

The order is in a final state (Rejected or Cancelled) or there are no allowed changes; the button also requires status-update access on your account.

An old order is missing

The default view only covers about the last two weeks; set a Start Date/To Date range (up to 3 months per search) to look further back.

The customer name is not shown

Visibility of customer details in the list depends on your account's access level.
