Invoices
The Invoices page lists the platform invoices raised to your location for each billing period — covering commission on orders and any service plan charges — and lets you print them and track their payment status. This is a Location View feature: you only see the invoices of the location you currently have selected.
What are Invoices?#
Each invoice covers a billing period (a date range) and summarises what the platform charges your location for that period: the commission on the orders taken, any tax on that commission, and any service plan items. It also contains a payout summary showing what is payable to you as the merchant after commission, refunds, and cash already held. Invoices are generated for you — this page is for reviewing them, printing them, and (with the right permissions) updating their status or recording a payout.
Where to find Invoices#
- View: Location View (make sure the right location is selected first)
- Menu: Finance → Invoices
- Availability: part of the Finance feature package. If your plan does not include Finance, this menu entry is not shown.
Note: this page is different from Billing → Invoices, which shows your subscription billing. Finance → Invoices shows the per-period order commission invoices for the selected location.
The list#
On desktop the invoices appear in a table (cards on smaller screens). If there are none, the page shows "No Invoices exits."

| Status | A coloured badge: Paid (green), Created (amber), and Draft, Sent, or Refunded (red). |
| Billing Period | The start and end dates the invoice covers. |
| Created Date | When the invoice was generated. |
Each row can show up to three action buttons:
- Edit Invoice Status (pencil) — change the invoice status (available to accounts with the right permission).
- Print Order (printer) — build and print the full invoice document.
- Payout (card icon) — record a payout against the invoice. Only shown when a payment sub account exists for the location and you have edit permission.
Printing an invoice#
- Click the printer button on the invoice row. The system fetches the full invoice details and opens your browser's print dialog.
- Print or save as PDF from there.
The printed document includes:
- A header with Invoice No, Date, and Billing Period, plus From and To addresses (with Website and VAT Number where available).
- A per-order-type breakdown — for example Collection Orders, Eat In Orders, Curb Side Orders, Self Delivery Orders, OutSourced Delivery Orders, Self Catering Orders, OutSourced Catering Orders — with subtotals, discounts (Order Discount, Promo Code Discount), Service Fee, Tip, Delivery Charge, Bag Fee, Commission, Refund, and Payable to merchant lines.
- Summary of Charges: Total Commission, total tax on commission, and Total.
- Service Plans: any plan items with Description, Price, Subtotal, and Total.
- Payout Summary: number of orders and amounts per category, Refunds, Gross Payout, "Less: Cash Held", and Total Amount Payable.
- Payout Transactions: any transfers already made, with Transfer Date, Amount, Payment Account, and Payment Sub Account.
- A note: "Commission is calculated on the price of goods after refunds and discounts are deducted."
Updating an invoice status#
- Click the pencil button on the invoice row.
- In the Edit Invoice Status window, pick the new Invoice Status: Draft, Created, Sent, Paid, or Refunded. If left empty you will see "Please select a status".
- Click SAVE. On success you will see "Invoice Status updated successfully". Click CLOSE to dismiss the window.
Recording a payout#
If your location has a payment sub account, the payout button opens a Payout window where a transfer can be made against the invoice.
- Click the payout (card) button on the invoice row.
- Fill in the fields:
Select Payment Account to Payout from(required) — otherwise "Payment Account is required value". Select Payment Sub Account to Payout to(required) — the list depends on the chosen payment account; otherwise "Payment Sub Account is required value". Amount(required, must be greater than zero) — otherwise "Amount is required" or "Amount amount must be greater than zero."
- The window also lists transfers already made for this invoice, with columns Transfer Date, Amount, and Reason.
- Click PROCESS PAYOUT. On success you will see "Your payout was processed successfully". The transfer is recorded with the reason "Invoice Payment".
Common tasks#
- Get a PDF copy for your accountant: click the printer button and choose "Save as PDF" in the browser print dialog.
- Check what a period's commission was: find the invoice by its Billing Period and open the printed view — the Summary of Charges shows Total Commission and tax.
- Mark an invoice as settled: click the pencil button and set the status to Paid.
- See past payouts for an invoice: open the Payout window — previous transfers are listed there — or check the Payout Transactions section of the printed invoice.
Troubleshooting#
No invoices are shown.
Check that the correct location is selected. New locations have no invoices until the first billing period has been invoiced.
The pencil (status) button is missing.
Your account doesn't have permission for this — ask your administrator.
The payout button is missing.
It only appears when the location has at least one payment sub account and you have edit permission.
The print dialog shows an empty page.
The invoice details are fetched when you click print; wait a moment and try again.
Invoices is missing from the Finance menu.
The page needs the right permission and the Finance feature on your plan — ask your administrator if you think it should be there.
