Tables

Tables are the numbered tables in your restaurant that customers can be seated at. This is a Location View feature — the table list is configured separately for each location, so make sure the correct location is selected before you start.

What are Tables?#

A table record represents one physical table at your location. Each table has a Table Number (the name or number your staff and customers use to identify it), a number of Seats, and an active/inactive status. Tables are used in two places:

  • Orders served at the table — when an order is placed for a table, the table number appears on the order. In the Live Orders screen the order detail shows a Table line with the table number, so staff know where to bring the food.
  • Table Reservation — bookings can be assigned to a table, and when the system looks for an available table for a booking it only considers tables that are active and have at least as many Seats as the party size. A table with too few seats is never offered to a booking.

Where to find Tables#

  • View: Location View — make sure the correct location is selected in the header. Each location keeps its own table list.
  • Menu: Operations → Tables (adding and editing open in a pop-up window on the same page)
  • Access: depends on your user permissions — buttons you do not have permission for are hidden. If a button or the page is missing, ask your administrator.

The Tables list#

The page shows all tables for the selected location. On a desktop screen it is a table; on a phone or small screen the same information is shown as cards.

SeatsHow many people the table can seat. Reservations only offer this table to parties of this size or smaller.
Is Active?A tick means the table is in use. Inactive tables are not offered when assigning a booking to a table.

Available actions: an ADD TABLE NUMBER button at the top of the page, plus an edit (pencil) and delete (bin) button on each row, depending on your permissions.

Adding a table#

  1. Check the correct location is selected in the header.
  2. Click ADD TABLE NUMBER at the top of the page. A window titled Add Table Number opens.
  3. Fill in Table Number and Seats. New tables have Is Active? switched on by default.
  4. Click SAVE. You will see the confirmation "Table Number saved successfully".
  5. Click CLOSE to return to the list.

Updating a table#

  1. Click the edit (pencil) button on the table's row. A window titled Edit Table Number opens with the current values.
  2. Change the fields you need — for example, switch Is Active? off to take a table out of service.
  3. Click SAVE. You will see "Table Number saved successfully".

Deleting a table#

  1. Click the delete (bin) button on the table's row.
  2. A confirmation appears: "Are you sure want to delete this Table Number?"
  3. Click Yes to delete, or Cancel to keep the table. The table is removed from the list immediately.

Field reference#

Table Number (required)#

Free text identifying the table. If left empty you will see "Table Number is a required value". Keep it short and match the number physically shown on the table so staff and customers recognise it.

Seats (required, minimum 1)#

Maximum party size this table can take. Bookings are only offered tables with enough seats. Must be a number of at least 1 — otherwise you will see "Seats is a required value" or "A table must have at least 1 seat".

Is Active? (on/off, default on)#

Whether the table is currently in use. Inactive tables stay in the list but are not offered when assigning bookings to a table.

Common tasks#

Set up tables for a new location#

Select the location in the header, then add one entry per physical table with ADD TABLE NUMBER. Give each table the number printed on it and the correct seat count — the seat count controls which tables reservations can be placed at.

Take a table out of service temporarily#

Edit the table and switch Is Active? off. It will no longer be offered for booking assignments; switch it back on when the table is available again.

Prepare tables for Table Reservation#

Before turning on online reservations, make sure every bookable table exists here with an accurate Seats value. When a booking is made, only active tables with enough seats count as available — if your largest table has 4 seats, a party of 6 cannot be seated automatically.

Change a table's capacity#

If you push tables together or add chairs permanently, edit the table and increase Seats so larger parties can be booked onto it.

Troubleshooting#

The list says "No Tables exits."

No tables have been created for the currently selected location yet, or the wrong location is selected in the header. Add tables with ADD TABLE NUMBER.

The ADD TABLE NUMBER button is missing

Your account doesn't have permission to add tables. Ask your administrator.

There are no edit or delete buttons on the rows

Your account doesn't have permission to edit or delete tables — ask your administrator.

A table does not appear in the Table Number dropdown when editing a reservation

The table is switched to inactive, or it belongs to a different location. Only active tables of the selected location are listed there.

A booking cannot be assigned to a certain table

Check the table's Seats value; reservations only consider tables whose seat count is at least the party size.
