Table Reservation

Table Reservation lets customers book a table at your restaurant and lets your staff manage those bookings from the dashboard. It is a Location View feature — bookings and reservation settings are configured per location, so make sure the correct location is selected in the header.

What is Table Reservation?#

Table Reservation has two parts, both found under the same menu entry:

  • Table Bookings — the live list of reservations for the selected location. New bookings made by customers appear here in real time; staff can also add, edit and delete reservations by hand.
  • Table Settings — controls when bookings can be made: the weekly booking hours, special hours for specific dates, and booking behaviour such as auto-accepting new bookings.

Reservations work together with the Tables page (Operations → Tables): a booking can be assigned to a table, and only active tables with enough seats for the party are considered available. Availability: this requires the Table Reservation feature to be enabled for your company. If the feature is not enabled, the menu entry does not appear.

Where to find Table Reservation#

  • View: Location View — select the correct location in the header first.
  • Menu: Operations → Table Reservation, with two sub-entries: Table Bookings and Table Settings. Adding and editing open in pop-up windows on the same pages.
  • Access: depends on your user permissions — if the menu entry, the bookings list or the settings page is missing, ask your administrator.

Table Bookings#

The bookings list#

The page header shows a live connection indicator (Live when connected; otherwise Connecting..., Reconnecting..., Connection lost or Disconnected), a sound switch that turns the new-booking notification sound on or off, a Bookings enabled badge, and the Add Reservation button. New bookings arrive in the list automatically while the connection shows Live.

StatusThe booking's state: PENDING, CONFIRMED, CANCELLED or DELETED.

Available actions:Add Reservation at the top, plus an edit (pencil) and delete (bin) button on each row. On phones the list is shown as cards with the same details and actions.

Adding a reservation#

  1. Check the correct location is selected in the header.
  2. Click Add Reservation. A window titled Add Reservation opens.
  3. Fill in the fields (see the field reference below). New reservations start with the status PENDING.
  4. Click SAVE. You will see the confirmation "Reservation saved successfully".
  5. Click CLOSE to return to the list.

Updating a reservation#

  1. Click the edit (pencil) button on the reservation's row. A window titled Edit Reservation opens.
  2. Change what you need — most commonly the Status (for example from PENDING to CONFIRMED) or the assigned Table Number.
  3. Click SAVE. You will see "Reservation saved successfully".

Deleting a reservation#

  1. Click the delete (bin) button on the reservation's row.
  2. A confirmation appears: "Are you sure you want to delete this reservation?"
  3. Click Yes! Delete to remove it, or No to keep it.

Reservation field reference#

Status (required, default PENDING)#

The state of the booking: PENDING, CONFIRMED, CANCELLED or DELETED. If Auto Accept Bookings is switched on in Table Settings, new customer bookings are accepted automatically; otherwise confirm them here.

Table Number (optional)#

The table to seat the party at. The dropdown lists the active tables of the selected location. If no tables exist you will see the note "If you want to assign a table number to this booking please add the table number in the Tables section first."

Date (required)#

The day of the reservation, chosen from a calendar. If left empty you will see "Date is required".

Time (required)#

The arrival time, chosen from a dropdown. The dropdown offers 15-minute slots within the booking hours set for that weekday in Table Settings — pick the Date first, and if no hours are set for that weekday the list is empty. If left empty you will see "Time is required".

Number of People (required, 1–40)#

The size of the party, chosen from a dropdown of 1 to 40. If left empty you will see "Number of people is required".

First Name (required)#

The guest's first name. If left empty you will see "First name is required".

Last Name (required)#

The guest's last name. If left empty you will see "Last name is required".

Phone Number (required)#

A contact number for the guest. If left empty you will see "Phone number is required".

Email (required, valid email)#

The guest's email address. If left empty you will see "Email is required"; an invalid address shows "Please enter a valid email address".

Occasion (optional)#

Free text for the occasion, e.g. a birthday or anniversary.

Notes (optional)#

Free text for anything staff should know — allergies, seating preferences, a high chair, and so on.

Table Settings#

Open Operations → Table Reservation → Table Settings. The page has three parts: booking settings at the top, a weekly hours grid, and cards for specific dates.

Booking settings#

Change the switches and values, then click Save.

Auto Accept Bookings (on/off)#

When on, new customer bookings are accepted automatically instead of waiting as PENDING for staff to confirm them. The following settings are managed by platform administrators and are only visible to them. If you need any of these changed for your restaurant, contact support.

  • Booking Duration(required, at least 15 minutes; default 90) — "How long a table is held for each booking."
  • Slot Interval(required, at least 5 minutes; default 30) — "Gap between the booking times offered to customers."
  • Enable Waitlist(on/off) — with Waitlist Mode set to either "Notify customer when a table frees up" or "Automatically confirm when a table frees up".
  • Require Deposit(on/off) — "Ask customers to pay or authorise a deposit to confirm a booking." When on, the following also apply:

Deposit Mode — "Charge takes the money now. Authorise only holds it on the card." Options: "Charge upfront" or "Authorise and hold". Deposit Amount Type — "Fixed per booking" or "Per person". Deposit Amount(required, greater than 0).

Deposit CurrencyGBP, EUR or USD. Cancellation Window(hours, cannot be negative) — "Customers can cancel for a refund up to this many hours before the booking."

Weekly booking hours#

Below the settings is one card per weekday, Monday to Sunday. Each card lists the time ranges during which bookings can be made for that day; the booking form's Time dropdown only offers slots inside these ranges.

  1. To add hours, click the plus button (Add Setting Time Slot) on the day's card. A window titled Add Setting Time Slot opens.
  2. Pick the start and end time in Setting Hours. Leaving it empty shows "Please select a time range".
  3. Click SAVE. You will see "Setting Time Slot saved successfully".

To change a range, click its edit (pencil) button — the window is titled Edit Setting Time Slot. To remove a range, click its delete (bin) button and confirm "Are you sure want to delete this time slot?" with Yes! Delete (or keep it with No).

Specific dates#

The Specific Date section lets you set booking hours for individual calendar dates — for example holiday hours — with an optional message. On a date that has its own card, the card's hours apply.

  1. Click the plus button (Add Specific Date) on the Specific Date card. A window titled Add Specific Date opens.
  2. Pick the Date (required — "Please select a date"), optionally enter a Message (the field hints "Optional message for this date (e.g., Holiday hours)"), and set the Setting Hours range.
  3. Click SAVE. You will see "Specific Date saved successfully".

Each date then gets its own card showing its time slots and, if set, the message behind an info icon. On the card you can:

  • Add another range with the plus button (Add Time Slot).
  • Edit a range with the pencil button (window titled Edit Time Slot).
  • Delete one range — confirmation: "Are you sure you want to delete this time slot?"
  • Delete the whole date with the bin button in the card header — confirmation: "Are you sure you want to delete this date and all its time slots?"

Common tasks#

Confirm a new booking#

New customer bookings appear in Table Bookings with the status PENDING (unless Auto Accept Bookings is on). Click the pencil button, change Status to CONFIRMED, assign a Table Number if you like, and click SAVE.

Take a booking over the phone#

Click Add Reservation, enter the guest's details, date, time and party size, and save. The booking behaves exactly like one made online by the customer.

Set your bookable hours#

In Table Settings, add a time range to each weekday you take bookings on. Customers (and the staff booking form) can only choose times inside these ranges.

Close bookings for a holiday#

Add a Specific Date card for the holiday with the reduced hours you want, and use the Message field to explain (e.g. "Holiday hours"). To reopen normal hours, delete the date card.

Move a party to a different table#

Edit the reservation and pick another table in the Table Number dropdown. Only active tables of the current location are listed; manage them under Operations → Tables.

Troubleshooting#

Table Reservation is missing from the menu

The Table Reservation feature is not enabled for your company, or your account doesn't have permission for this — ask your administrator.

The Time dropdown in the reservation form is empty

No booking hours are set for that weekday in Table Settings, or you have not picked a Date yet. Time slots come from the weekly hours of the chosen day.

The Table Number dropdown is empty

You will see "If you want to assign a table number to this booking please add the table number in the Tables section first." Create tables under Operations → Tables, and check they are active.

New bookings are not appearing automatically

Check the connection indicator in the page header. If it does not say Live (for example Reconnecting... or Connection lost), the live feed is interrupted; check your internet connection or reload the page.

No notification sound for new bookings

The sound switch in the page header is off. Switch it on.

Bookings sit at PENDING

Auto Accept Bookings is off in Table Settings, so each booking must be confirmed by staff. Switch it on to accept bookings automatically.

The settings form is greyed out

Your account doesn't have permission to change the settings; you can view but not change them. Ask your administrator. Some settings (duration, intervals, waitlist, deposits) are only editable by platform administrators.
