Menus

The Menus area is where you build everything your customers can order: menus, the categories inside them, the products inside those, plus the option groups and product bundles that customise them. It is a Location View feature — everything you see and edit applies to the location currently selected in the location picker.

How menus are structured#

Your menu content is organised as a hierarchy. Understanding it makes everything else on this page easier:

  • Menu — the top level, e.g. "Main Menu" or "Lunch Menu". A location can have several menus, each with its own availability times.
  • Category — a section inside a menu, e.g. "Starters" or "Pizzas". Categories keep the menu browsable and can have their own availability.
  • Product — an individual item customers order, e.g. "Margherita Pizza". Each product has a price, a photo, and an active/inactive switch.
  • Option Group — a set of choices attached to a product, e.g. "Choose your size" or "Extra toppings". Each group contains options (each with its own price) and rules for how many the customer must or may pick.
  • Nested Option Group — an option group attached to an option rather than a product. Example: choosing the option "Meal Deal" opens a nested group "Choose your drink".
  • Product Bundle — a set of existing products sold together as a combo, e.g. "Family Feast: pick any 3 pizzas".

So the chain a customer walks through is: Menu → Category → Product → Option Groups (and possibly nested groups or a bundle).

Where to find Menus#

  • View: Location View (the header shows Location View when you are in it). Pick the location first — every menu belongs to one location.
  • Menu: Operations → Menus
  • Permissions: access to these pages and their individual buttons (add, edit, delete) depends on your user permissions, so a colleague with a more limited role may see fewer buttons than the screenshots in this guide. If a button or page is missing, ask your administrator.

The Menus page opens with up to four tabs: Menus, Option Groups, Nested Option Groups and — for administrator accounts — Product Bundles.

The Menus tab lists every menu for the selected location. On desktop you can switch between two layouts with the toggle buttons on the right: an expandable list (the default, showing the whole menu tree) and a card grid.

In the list layout each menu is a collapsible panel. The panel header shows the menu name and a row of inline action icons:

  • Edit — opens the "Edit Menu" window.
  • Upload — opens "Bulk Upload Menu Products" (see the tip below).
  • Export — asks "Choose export format" and downloads the menu as "Export CSV" or "Export XLSX".
  • Delete — asks "Are you sure want to delete this menu?" with "Yes! Delete" / "No".
  • Copy — opens the "Copy Menu" window: "Please select the Company and Branch you want to copy this Menu to." then press COPY. This duplicates the whole menu, e.g. to another location.

Expanding a menu reveals its categories (with an ADD CATEGORY button), and expanding a category reveals its products — so you can manage the whole tree without leaving this page.

Adding or editing a menu#

Press ADD MENU (top right) or the edit icon on an existing menu. The form has two tabs:

Press SAVE; you should see "Menu saved successfully". (Super-administrators also see an "Order Types" section on the ADVANCED tab.)

Categories#

You can manage categories either inline on the Menus tab (expand a menu) or on the dedicated Categories page — click a menu name to open it. That page shows the menu's name as a subtitle and has Back to Menus and ADD CATEGORY buttons, plus the same grid/list layout toggle on desktop.

Each category appears as a collapsible panel labelled with its name (and its code in brackets, if set). Panel actions are Edit and Delete ("Are you sure want to delete this category?"); inside the panel you see the category's products and a "+ Add a product" bar. On the Menus-tab tree view, categories additionally offer Export (export just that category) and Copy — "Please select the Company, Branch and Menu you want to copy this Category to."

Adding or editing a category#

Press SAVE; success shows "Category saved successfully". Some administrator roles also see an ADD SUB CATEGORY button inside a category on the Menus tab, which creates a nested category one level below.

Products#

Products live inside a category. You can work with them in three places: inside the expanded category on the Menus tab, inside a category panel on the Categories page, or on the dedicated Products page (which has Back to Menus, Back to Categories and ADD PRODUCT buttons and shows "Menu - Category" as its subtitle). The product table on the Categories page shows the columns Image, Name, Description, Is Active? and Price. On the Menus tab the table is condensed to Product (photo, name and description together), Is Active? and Price — and there the Is Active? column is a live switch: flip it to instantly show or hide the product without opening the form. Row actions are Edit, Delete ("Are you sure want to delete this product?") and, on the Menus tab, Copy — "Please select the Company, Branch, Menu and Category you want to copy this Product to." On the Categories and Products pages, products can be re-ordered by dragging rows up or down within their category (on mobile, press and hold briefly before dragging). The order you set is the order customers see; every product also has a Position number in its form if you prefer to set the order explicitly.

Press SAVE; success shows "Product saved successfully".

Option Groups#

Option groups are the choices attached to a product — sizes, toppings, cooking preferences, "choose your side", and so on. They live on the Option Groups tab of the Menus page; groups that attach to an option (rather than a product) live on the Nested Option Groups tab and work the same way. The list is a table with the columns Name, Identifier Name, Min Choice, Max Choice and Active (a live on/off switch). Expand a row to see the options inside the group. Row actions are Edit and Delete ("Are you sure want to delete this option group?"). Above the table (Option Groups tab only) sit EXPORT, UPLOAD and ADD OPTION GROUP:

  • EXPORT opens "Export Option Groups" — "Select a menu to export its option groups to an Excel or CSV file." with "Export XLSX" / "Export CSV" buttons.
  • UPLOAD opens "Bulk Upload Option Groups" — "Upload an Excel or CSV file to bulk import or update Option Groups, Options, Nested Option Groups and Nested Options. Rows with an ID will update existing entries. Rows with a LinkId will create new entries." (max 10MB; a "View example file" link shows the format).

Adding or editing an option group#

ADD OPTION GROUP and the edit icon open a full-page form. Fields:

Below the fields is the list of options. Press ADD OPTION to add one (a menu must be selected first). Each option card has:

  • Name (required) — plus translation fields when multiple languages are configured.
  • Price (required) — the extra charge; can be 0.
  • Default Quantity and Max Quantity — pre-selected amount and per-option limit (only editable when Max Choice is above 1).
  • Active — switch for the individual option.
  • Image — optional option photo.
  • Nested Option Group (Optional) — attach nested groups to this option (regular option groups only).
  • Exclude from free options — shown only when Free Options Quantity is above 0; premium options with this switched on are always charged.

Deleting an option asks "Are you sure want to delete this option?". Press SAVE to store the whole group; success shows "Option Group has been saved successfully". Remember: creating a group does not put it on any product by itself — attach it via the product's "Option Groups (Optional)" field.

Product Bundles#

Product bundles let customers build a combo from existing products, e.g. "pick any 3 pizzas". The Product Bundles tab is available to administrator accounts, and carries this notice: "To use Product Bundles, please contact support to ensure your apps are updated to a version that supports the Product Bundles feature." The list shows Identifier Name, Min Choice, Max Choice, Free Products Qty and Active (live switch), with Edit and Delete actions ("Are you sure you want to delete this product bundle?"). ADD PRODUCT BUNDLE opens a full-page form:

Then add the choosable items with Add Bundle Component. Each component has a Product (required) picker (browse your menu tree and choose a product — its current price is filled in automatically), plus Default Qty, Max Qty, Price, Active, and — when Free Products Quantity is above 0 — Excluded From Free. Press SAVE; success shows "Product Bundle has been saved successfully". Finally, attach the bundle to a product via the product form's "Product Bundles (Optional)" field so customers can find it.

Common tasks#

Add a new dish#

  1. Operations → Menus, expand the right menu, then expand the category the dish belongs in.
  2. Press ADD PRODUCT (or "+ Add a product" on the Categories page).
  3. Fill in Name and Price (both required), add a photo and description, attach any option groups, and press SAVE.

Change a price#

  1. Find the product in its category and press the Edit icon.
  2. Change Price and press SAVE — "Product saved successfully" confirms it. The new price applies to new orders immediately.

Hide a sold-out item#

  1. On the Menus tab, expand the menu and category and flip the product's Is Active? switch off — no form needed.
  2. If it will be back at a known time, instead open the product, go to the ADVANCED tab and add a Snoozes entry with the date/time range; it reappears automatically when the snooze ends.

Add a topping choice to an existing group#

  1. Open the Option Groups tab and press Edit on the group.
  2. Press ADD OPTION, enter the option's Name and Price, and press SAVE.

Reorder products in a category#

  1. Open the category's page (click the menu name, then work inside the category panel) and drag product rows into the order you want — the change saves as you drop. You can also edit any product and set its Position number directly; lower numbers appear first.

Copy a menu to another location#

  1. On the Menus tab, press the Copy icon on the menu's header row.
  1. Follow the prompt — "Please select the Company and Branch you want to copy this Menu to." — and press COPY. "Menu has been copied successfully" confirms it. Categories and products have their own Copy actions for smaller moves.

Troubleshooting#

A product is not visible to customers

Check its Is Active? switch, then check for an active snooze on the product, and finally check that its category and menu are active and within their Availabilties times — an inactive or out-of-hours parent hides everything inside it.

The Menus page is empty or shows the wrong menus

You are probably looking at a different location. Check the location selected in the Location View picker; menus are per-location.

Add / Edit / Delete buttons are missing

Your account doesn't have permission for these actions. Ask an administrator to adjust your role.

The product form is greyed out except the active switch

Your role is limited to status updates; an administrator must make other edits.

"ADD OPTION" is disabled on a new option group

Select a Menu for the group first; options cannot be added until the group belongs to a menu.

"Free Options Quantity" keeps changing by itself

It cannot exceed Max Choice; lowering Max Choice automatically lowers the free quantity to match.

A bulk upload failed

"Failed to upload products. Please check your file and try again." usually means the file does not match the expected columns; download the "View example file" or run an Export first and edit that file. Files must be Excel (.xlsx, .xls) or CSV and at most 10MB.

Product bundles do not appear in the ordering apps

As the on-screen notice says, contact support to ensure your apps are updated to a version that supports the Product Bundles feature.

Something was deleted by mistake

Deletions are confirmed with a "Yes! Delete" prompt and cannot be undone from the dashboard; you will need to re-create the item (or re-import it from a previous export).
